REGISTRATIONS
People of all age groups who wish to acquire knowledge in a specific field of music or on a specific musical instrument included in our offer can apply for enrollment at the Vienna International Music School (VIMS). In the case of underage children, only applications from parents or legal guardians can be considered valid.
It is important to contact the management of Vienna Intenational Music School before each enrollment. If the purchase of the course and thus the conclusion of the contract is made through our website, VIMS management will contact you immediately afterwards and proceed with the enrollment.
Vienna International Music School reserves the right to require an entrance exam for enrollment. Vienna International Music School also reserves the right to reject course applicants without explanation.
DURATION OF THE CONTRACT
The contract, if one chooses a course in duration of 5 or 10 school months, is concluded for an indefinite period and includes a minimum duration of 5 or 10 school months (equivalent to 6 or 12 regular months). The contract can be terminated in writing by the course participant of full age or parents of the course participant, subject to a notice period of two months, with the effect from the end of the month. The notice may be submitted no earlier than two months before the end of the minimum contract duration stated above. If notice of termination is not given in due time, the contract will automatically renew for an additional six or twelve months (5 or 10 school months – equivalent to 1 or 2 school semesters) depending on the initially chosen course duration.
One semester consists of 15 lessons of pre-determined duration, while two semesters consist of 32 lessons of pre-determined duration. At the beginning of each school year, or upon registration, parents will receive a detailed annual VIMS calendar with all non-teaching days and relevant information. There are no classes during vacations as well as public holidays.
For more information on public holidays and vacations, please see the following link: www.bildung-wien.gv.at/service/Schulferien-und-schulfreie-Tage.html.
In case that student attends the lessons at the school we are in cooperation with, the holidays and vacations schedule of that school will be followed.
Contracts for two-month courses (6-8 Weaks Try Out) or other courses from the “Program Plus” offer are concluded exclusively for the period specified in the description of the course offer.
GENERAL GUIDELINES FOR ENROLLMENT
According to the recommendation of VIMS, and depending on the student’s goals, it is often advisable to pursue music lessons consistently over several years (typically around six years) in order to reach an advanced level of musical proficiency. The learning progress is individual and depends in particular on the student’s individual practice, attendance, and engagement.
By attending the Vienna International Music School, course participants commit to constructive cooperation and must attend classes well prepared. The basic requirement for successful completion of our school music program´s is regular practice with an appropriate amount of time (contracting with the instrumental teacher, approximate guideline: beginners approx. 15min several times per week, for advanced students correspondingly more).
The Vienna International Music School provides music instruction through professionally qualified music instructors, and, when necessary, equally qualified substitute instructors. VIMS is not liable for learning success, as progress depends on the student’s individual practice, attendance, and engagement. While VIMS strives for continuity of instruction, the student has no contractual entitlement to be taught by a particular instructor.
The course participant / legal guardian contractually undertakes not to arrange or take private lessons with the instructor who teaches, or has taught, the student under this contract, outside the school without the prior written consent of VIMS, during the term of this contract and for a period of six months after its termination.
COURSE FEE
Participation in program classes at the Vienna International Music School is only possible after the signed registration form or the course program being purchased online.
The course fee shall be paid within the 7 days from the date of the registration, thereafter by the 5th of each month for the current month, or in 1 or 2-course installments divided equally across two payment periods (each covering 5 school months in advance). If the course fee is paid in one or two instalments, the student is exempted from the registration fee in the amount of 70€. If a payment is not received by the due date, a written payment reminder will be issued. An administrative fee of €30 will be charged per reminder. If, within 10 days after the second reminder has been sent, no payment has been received, the instalment is considered outstanding. If an instalment remains outstanding for more than 40 calendar days from the original due date, Vienna International Music School may, without further notice, request the remaining balance of the tuition fee to be settled in full. In the event of a delay in payment, Vienna International Music School may temporarily suspend instruction until all outstanding amounts have been settled in full. During the period of such suspension, there shall be no entitlement to make-up lessons for the cancelled sessions. The obligation to pay the agreed tuition fees shall remain unaffected.
Purchases made through our web shop are excluded from the installment payment clause as online payments are handled exclusively through the payment methods offered by the payment service provider at checkout.
For students without residency in Austria (non-local students), the course fee is due in one installment prior to the start of the program. If the student enrolls in two or more programs simultaneously, payment in two or more installments may be granted, subject to prior approval from the VIMS administration office.
Prior to any signed contract or online purchased course, students have the possibility to attend a trial lesson with a duration of 30 minutes. VIMS reserves the right to offer free trial lessons during specific marketing campaigns. Outside of such campaigns, a reservation fee of €40 applies to trial lessons. This fee is non-refundable, but will be fully credited toward the tuition fee if the student enrolls in the program. The trial lesson is available to new students registering for the first time at the Vienna International Music School, as well as to existing students who are changing their program and have not previously taken lessons with the respective teacher.
VIMS does not consider itself obligated to provide any refund after a contract has been signed, regardless of whether or not the trial lesson option has been used. All tuition fees are binding and non-refundable once the contract is concluded.
If the student stops attending lessons or fails to attend scheduled lessons for reasons attributable to the student or the legal guardian, no refund shall be granted.
By concluding the contract / completing the purchase online, the student or the legal guardian expressly requests that VIMS begin scheduling and providing music lessons prior to the expiry of the statutory withdrawal period. If the right of withdrawal is exercised after lessons have started, the consumer shall pay a proportionate amount for the lessons provided up to the time of withdrawal. The statutory right of withdrawal applies only to consumers within the European Union and the European Economic Area (EEA).
Gift cards purchased from our “Gift Cards” offer can only be used within 90 days from the date of purchase.
ATTENDING LESSONS
VIMS reserves a dedicated weekly time slot for each student and schedules instructors accordingly. To ensure fairness and reliable planning for all students, make-up lessons are granted only under the conditions set out below.
If a student is unable to attend a lesson, the instructor or the school´s office must be notified as soon as possible by the student´s parent(s) or the legal guardian (or, in the case of an adult course participant, by the participant). Where there is no acute reason (such as illness on the day of the lesson), cancellations must be submitted at least 24 hours prior to the scheduled lesson time. Lessons missed without prior notice cannot be made up.
A make-up lesson will be granted only in the following cases:
- Cancellation by VIMS / instructor: Any lesson cancelled by the teacher or by VIMS management will be made up.
- Medical excuse: If a licensed doctor’s note is provided, the missed lesson will be made up.
- Justified absences: Without a doctor’s note, up to TWO absences per semester may be justified by the student’s parent(s), legal guardian (or, in a case of an adult participant, by the participant) and made up, provided the absence is notified 24 hours in advance (or, in the case of sudden illness, as soon as reasonably possible).
Students must be punctual in class and bring the necessary learning materials. Late arrival does not entitle the course participants to an extension of the scheduled lesson.
For the ‘At School Program’, the lesson location is agreed at the time of enrolment. VIMS reserves the right to relocate lessons to another suitable VIMS location for operational reasons (e.g., room availability, scheduling requirements, maintenance, or unforeseen circumstances).
In case of participation in the courses from our “Online Program”, it is strictly forbidden to record classes and distribute them to third parties without the prior written consent of the management of the Venna International Music School.
By accepting these Terms and Conditions, parents/legal guardians (and adult participants) give consent that the child/participant may be photographed or recorded during lessons, concerts, or school events. The resulting photos or videos may be used by Vienna International Music School exclusively for internal documentation, promotional purposes, or marketing communication (e.g., website, social media, printed materials).
Parents/legal guardians (and adult participants) may withdraw this consent at any time by sending an email to: office@vims.online. Withdrawal of consent does not affect the lawfulness of photo/video usage prior to the withdrawal.
SAFETY DURING LESSONS
The Vienna International Music School takes appropriate organizational measures to ensure safe lesson environment. Course participants are required to follow the instructions of the instructors and to behave in a manner that does not endanger themselves or others.
If parents or legal guardians are present on VIMS premises, they are responsible for supervising the minor child outside the lesson room (in particular in waiting areas). Before the lesson begins and after the lesson ends, supervision of the child remains the responsibility of the parents or legal guardians. During the scheduled lesson in the lesson room, supervision is provided by the instructor.
In case of an emergency, VIMS is entitled to contact emergency services/an emergency doctor and to inform the parents/legal guardians (or the designated emergency contact person) as soon as reasonably possible. Where necessary for this purpose, the required personal data may be disclosed to emergency services/an emergency doctor.
Items brought onto the school premises, in particular valuables, are not accepted for safekeeping. VIMS assumes no liability for the loss, theft, or damage of any items brought onto the school premises. It is therefore recommended not to bring valuables to lessons.
BEHAVIORAL GUIDELINES IN THE SCHOOL
The course participants undertake not to endanger themselves or others and to handle the school property and instruments with care. For minor participants, parents/legal guardians are requested to ensure that the child understands and complies with these rules. The course participants or, in the case of minors, their legal representatives are liable for damages.
In case of gross violations by the course participant, serious offenses, especially drug or alcohol consumption during, before or after the lessons or at the place of lessons, or other grave reasons, including but not limited to repeated non-compliance with school policies, verbal or physical aggression, or deliberate disrespect towards the school, its staff, or property, the Vienna International Music School is entitled to exclude the course participant from the lessons and terminate the contract without refund of the paid course fee.
